Personal Assistant [PA] to the General Secretary [Temporary Role]

About this Role:

The Personal Assistant (PA) to the General Secretary works closely with the General Secretary (CEO) on a daily basis.  This role is based at the Council for World Mission (CWM) Headquarters, in Singapore.   It is a temporal maternity cover from Nov 2025 to Mar 2026.

The overarching aim of this position is to provide highly professional, confidential, executive support to the Office of the General Secretary (equivalent to CEO). The scope of support within the Office comprises of assistance to the General Secretary primarily, but also secondary support to the Mission Secretary to the General Secretariat (MS-GS).  The ideal individual will have the ability to exercise good judgement in a variety of situations, with strong written and verbal communication, organizational skills, and the ability to maintain a realistic balance among multiple priorities in a collaborative team context. The PA must have the ability to work under pressure, and to handle confidential matters with professional discretion.

Key Roles & Responsibilities:

Executive Support

  • Completes a broad variety of administrative tasks for the General Secretary.
  • Plans, coordinates and ensures the GS’ schedule is followed and respected. 

Hospitality

  • Welcome guests of the General Secretary, providing a warm and welcoming reception with grace, sophistication and professionalism. Keep both the General Secretary and visitors informed of any appropriate information pertinent to the visit.
  • Coordinate internal meetings for the Office of General Secretary (OGS).
  • Assists board members with travel arrangements, lodging, and meal planning as needed.

Communication

  • Ensures that the GS’ bio is kept updated and responds to requests for materials from the Communications team regarding the GS.
  • In consultation with the MS-GS, and as and when needed, edits and completes first drafts for written communications to external stake holders.
  • Assist with OGS matters, and any duties as assigned by the GS.

Required Skills and Experience:

  • At least 3 years’ relevant administration experience in a customer focused environment, ideally with increasing levels of responsibility and providing high level support to executive functions
  • Tertiary level education or business, finance or HR qualifications are desirable
  • Excellent written and spoken English
  • High standards of personal, professional presentation
  • Ability to work with discretion and maintain confidentiality in relation to all matters relating to the office
  • Good working knowledge of using MS Office to a competent level within an office environment, especially MS Word, Excel and Outlook
  • Excellent communication skills with peers of all levels up to senior management
  • Ability to work largely on own initiative
  • Positive and friendly personality
  • Excellent timekeeping and task management skills
  • An ability to demonstrate a personal alignment with CWM’s core values and ethos of partnership in mission
